Labelo’s team management feature allows organization owners and administrators to efficiently manage team members, assign roles, and control access within the platform. From adding new members to setting specific roles and tracking team activity, Labelo provides a streamlined solution for managing collaborative data labeling projects.

Overview of the Team Management Page

In Labelo, the Team page allows organization owners and administrators to view and manage all team members. 

On this page, you can access essential details about each member, including their username, role, status, and recent activity. 

Only users with Owner or Administrator roles can access this page, ensuring that team management remains secure and controlled.

  • Member Status: Track whether a member is active, inactive, or invited but not yet registered.

Roles and Permissions

Labelo, the open-source labeling tool, uses roles to manage access and actions within the platform, ensuring security and efficiency. The assigned role determines the level of access a user has and the tasks they can perform. This setup ensures that each member only sees the areas and tools they need, making the platform safer and easier to navigate.

How to Assign Roles

  1. Go to the Team page.
  2. Find the user account you want to update.
  3. Use the drop-down menu next to the user’s email to select a role.

Understanding User Statuses

Labelo assigns one of three statuses to each team member:

  1. Active: The user is currently active within the organization.
  2. Inactive: The user is part of the organization but is currently inactive. If they switch organizations, their status will appear as inactive here.
  3. Invited: The user has been invited but has not yet completed registration.

These statuses help administrators quickly assess the engagement of team members and monitor any pending invites.

Viewing Detailed Member Information

Clicking the info icon next to a user’s name opens a detailed information modal, where you can see specifics like username, email, role, and status.

Additionally, this view shows the user’s activity history, including projects they have created or contributed to. Clicking on a project name takes you directly to that project page for further review.

Deleting Team Members

To remove a member from the organization:

  1. Click the delete button next to the user’s name.
  2. Confirm deletion to remove the user from the organization.

Important Notes:

  • Owners cannot be deleted from the organization.
  • Users who have been invited but have not yet activated their accounts cannot be deleted; however, you can revoke their invitations.
  • Once deleted, any work or changes made by the user will be shown as completed by a “Deleted User.” If you want to add the user again later, you will need to re-invite them.

Adding New Members to Your Organization

To add new members, click the Add People button on the Team page. You can choose between two methods for inviting new users

  1. Invite Link:
    Share a generated link with users. After registration, an Owner or Administrator must assign them a role, as they will initially be in a pending state. If you need to reset this link, click “Reset Link” to prevent anyone with the old link from accessing the organization.
  2. Invite via Email:
    Enter the user’s email and select their role within the organization. The user will receive an email with a link to activate their account. Once they activate it and set up a password, they will be able to access Labelo. If the user has an account with another organization, they’ll automatically be added to this organization upon accepting the invite.

To resend or revoke an invitation, access the user’s detailed information and select the appropriate option. Users in a “Pending” status mean they’ve been invited but are awaiting a role assignment from an administrator.
